1. Introduction
These Terms and Conditions (“Terms”) govern the provision of roofing services by Flat Roofing Wales (“we”, “us”, “our”) to customers (“you”, “your”, “Customer”). By accepting our quotation or engaging our services, you agree to be bound by these Terms.
Flat Roofing Wales reserves the right to update or amend these Terms at any time. Any changes will be posted on our website, and your continued use of our services following such changes constitutes acceptance of the updated Terms.

3. Quotations
3.1 Free Inspections
We offer free, no-obligation roof inspections and quotations.
3.2 Quotation Validity
All quotations are valid for 30 days from the date of issue unless otherwise stated. After this period, prices may be subject to change due to material cost fluctuations or other factors.
3.3 Quotation Accuracy
Quotations are based on the information available at the time of inspection. If additional work is discovered once the project commences, we will notify you immediately and provide a revised quotation for your approval before proceeding.
3.4 Quotation Acceptance
A quotation becomes a binding contract when you accept it in writing (email acceptance is acceptable) and any required deposit has been paid.
4. Pricing and Payment Terms
4.1 Pricing
All prices quoted are in GBP (£) and include VAT at the applicable rate unless otherwise stated.
4.2 Payment Schedule
Unless otherwise agreed in writing:

Progress payments may be required for larger projects

4.4 Late Payment
If payment is not received within 14 days of the due date, we reserve the right to charge interest on outstanding amounts at the statutory rate under the Late Payment of Commercial Debts (Interest) Act 1998.

If there are significant increases in material costs between quotation and commencement of work, we reserve the right to adjust pricing. You will be notified of any such changes before work begins.
5. Financing Options
5.1 Availability
We offer financing options for new roofs and repairs, subject to credit approval by our third-party finance provider.
5.2 Terms
Specific financing terms, interest rates, and repayment schedules will be provided by the finance provider. These are separate agreements between you and the finance company.
5.3 Our Role
Flat Roofing Wales acts only as a credit broker and is not responsible for the terms or administration of finance agreements.
6. Project Timeline and Delays
6.1 Estimated Timelines
We will provide an estimated start date and completion timeline. While we strive to meet these dates, they are estimates only and may be subject to change.
6.2 Delays Beyond Our Control
We are not liable for delays caused by:

Adverse weather conditions

Supply chain disruptions or material shortages

Discovery of unforeseen structural issues requiring additional work

Lack of access to the property

Changes requested by the Customer

Any other circumstances beyond our reasonable control
6.3 Customer-Caused Delays
If work is delayed due to Customer actions (e.g., denied access, late decision-making), we reserve the right to reschedule the project and may charge reasonable costs incurred.
7. Customer Responsibilities
7.1 Site Access
You must provide safe, unobstructed access to the work area during agreed working hours. This includes:

Clear access routes for personnel, equipment, and materials

Removal of vehicles from work areas

Securing pets
-
Notification of any site-specific hazards
7.2 Permissions
You are responsible for obtaining any necessary permissions, planning approvals, or building regulation approvals required for the work (we can advise if needed).
7.3 Property Protection
While we take care to protect your property, you should remove or cover any valuable or fragile items near the work area.
7.4 Utilities
You must inform us of the location of any utilities (gas, electric, water) that may be affected by the work.
7.5 Accurate Information
You must provide accurate information about the property, existing roof condition, and any known issues.
8. Our Responsibilities
8.1 Professional Standards
We will carry out all work:

8.2 Insurance
We maintain appropriate public liability insurance covering our work.

We comply with all relevant health and safety regulations and will conduct work safely to minimize risk to occupants and the public.
8.4 Site Cleanliness
We will:

Keep the work area as tidy as reasonably possible during the project

Conduct daily site clean-ups

Remove all waste and debris upon completion

Leave the site in a clean and safe condition
8.5 Environmental Responsibility
We dispose of all waste materials in accordance with environmental regulations and recycle where possible.
9. Warranties and Guarantees
9.1 Workmanship Guarantee
We guarantee our workmanship for a minimum of 12 months from the date of completion.
9.2 New Flat Roof Warranty
New flat roof installations come with a 20+ year warranty covering:

9.3 Manufacturer Warranties

9.4 Warranty Conditions

No unauthorized modifications or repairs by third parties

9.5 Warranty Exclusions

Failure to maintain gutters, downpipes, or drainage

Damage from ponding water due to inadequate building structure
9.6 Leak-Free Guarantee
We guarantee professional sealing and membrane installation to industry standards. Any leaks resulting from installation defects will be rectified free of charge within the warranty period.
10. Materials
10.1 Material Selection
We use high-quality materials from reputable manufacturers. Specific materials will be detailed in your quotation.
10.2 Material Options
We offer multiple material options including:

10.3 Material Supply
Unless otherwise agreed, we supply all materials required for the project.

If you wish to supply your own materials, this must be agreed in advance. We cannot provide warranties on customer-supplied materials and our liability is limited to workmanship only.
10.5 Material Changes
If specified materials become unavailable, we will offer suitable alternatives of equivalent or better quality for your approval.
11. Variations and Additional Work
11.1 Change Requests
Any changes to the agreed scope of work must be requested in writing. We will provide a written quotation for additional costs and timeline adjustments.
11.2 Unforeseen Work
If we discover structural issues, rot, or other problems requiring additional work:

We will stop work in that area

Notify you immediately with photographic evidence where possible

Provide a quotation for the additional work required

Only proceed once you have approved the additional work in writing
11.3 Additional Costs
You are responsible for the cost of any variations or additional work approved by you.
12. Cancellation Policy
12.1 Your Right to Cancel
If we have attended your property for an inspection and you subsequently accept our quotation, you have a 14-day cooling-off period under the Consumer Contracts Regulations 2013. You may cancel without penalty during this period by notifying us in writing.
12.2 Cancellation After Work Commences
If you cancel after work has commenced:

You will be charged for all work completed to date

You will be charged for any materials ordered or delivered

You will be charged reasonable costs for site mobilization and demobilization
12.3 Our Right to Cancel
We reserve the right to cancel or postpone work if:

Payment is not received as agreed

Access is denied

Weather conditions make work impossible or inadvisable
12.4 Deposit Refunds
If we cancel for reasons within our control, deposits will be refunded in full. If you cancel outside the cooling-off period, deposits are non-refundable but will be credited against actual costs incurred.
13. Completion and Inspection
13.1 Practical Completion
Work is considered complete when all contracted work has been finished to a satisfactory standard and the site has been cleaned.
13.2 Final Inspection
Upon completion, we will conduct a final quality check with you (or your representative) to ensure your satisfaction.
13.3 Sign-Off
You will be asked to sign a completion certificate confirming that work has been completed satisfactorily.
13.4 Snagging
Any minor issues identified during final inspection will be rectified promptly at no additional cost.

Upon completion and final payment the invoice, we will provide:

14. Emergency Repairs

14.3 Temporary Repairs
Emergency work typically involves temporary weatherproofing repairs. Permanent solutions will be quoted separately.
